1. Short version
- We collect what we need to quote, book and move your vehicle, and to answer you.
- Our website analytics use no cookies and no third-party tracking scripts.
- We do not sell your personal information.
- You can ask us to see, correct or delete your data (section 8).
The controller of your data is [Legal entity name]. Contact: [Email].
2. What we collect and why
When you get a quote or book
Pickup and delivery addresses, vehicle details (year, make, model, VIN if given, running or not), dates, your name, email and phone, and notes. Used to price, dispatch and deliver the shipment, to contact you about it, and to keep records of it. Getting an online estimate without submitting it does not save your details.
When you contact us
Name, email, phone if given, and your message. Used to reply.
When a carrier applies
Company name, MC and USDOT numbers, contact details, equipment and lanes. We also look up public FMCSA records to verify authority, and we receive insurance certificates. Used to evaluate and manage the carrier relationship.
When you use the chat assistant
Your messages and the replies, so a conversation can continue and staff can follow up. An automated assistant answers, and where an AI service is configured, the text of your messages is sent to that provider to produce a reply. Do not put payment card numbers or other sensitive details into chat. The chat may keep a random session identifier in your browser so the conversation continues. [owner: confirm the AI provider and whether it is enabled]
Tracking and driver location
Customers see status updates and the last position a driver shared. Drivers share their phone’s position only while they have the driver page open and have allowed location access. Positions are linked to the shipment and shown to the customer on the tracking page without personal details. Customers are not tracked.
Signing documents
When you e-sign, we store your typed name, the signature image, a time, a hashed form of your IP address and your browser’s user-agent, as evidence of the signing.
3. Analytics, cookies and storage
- Cookieless. We measure page views, referrers (site name only), device type and basic performance numbers (page load, layout shift, interaction delay) with our own server. No cookies are set for visitors.
- A visitor is counted using a one-way hash of your IP address and browser details that changes every day, so we cannot follow you across days. We do not store your raw IP address in analytics.
- If your browser sends “Do Not Track”, we send no analytics at all.
- No advertising, no third-party analytics and no social-media trackers.
- Staff sign-in uses a session cookie that is strictly necessary and only set on the staff area.
- The site is installable as an app. A service worker saves site files (not your data) so it loads faster and works offline for basic pages.
4. Who sees your data
- The assigned carrier and driver receive what they need to do the job: pickup and delivery addresses, vehicle details and your contact name and phone.
- Service providers that run the business: hosting, email delivery, and the optional chat/AI provider. [owner: list actual providers]
- Map tiles on the quote map load from a map provider’s servers, which see your IP address and the area you view, as any site that shows a map does.
- Address search goes through our server to a geocoding service, so the service sees our server, not your browser.
- Authorities and advisers where the law requires, or to handle a dispute or claim, including carriers’ insurers.
We do not sell personal information or share it for advertising.
5. How long we keep it
These are draft targets for the owner to confirm. Federal rules require brokers to keep some transaction records for a period of years, so counsel should confirm the minimum for orders and signed documents.
- Quotes that were never booked: [retention period, for example 24 months].
- Orders, bills of lading and signed documents: [retention period, at least the legal minimum for broker records].
- Contact messages and chat transcripts: [retention period, for example 24 months].
- Carrier applications not approved: [retention period, for example 24 months].
- Driver location pings: [retention period, for example 90 days after delivery].
- Analytics events: [retention period, for example 14 months].
6. Security
The site uses HTTPS. Access to customer records is limited to staff with a role that needs it, and staff actions are logged. No system is perfectly secure; if there is a breach affecting you we will notify you as the law requires.
7. Children
The service is for adults. We do not knowingly collect information from children.
8. Your choices and rights
Write to [Email] to ask what we hold about you, to correct it, or to delete it. We may need to keep some records (for example an order and its bill of lading) for legal or claim reasons, and we will say so. Depending on where you live you may have additional rights under state or national privacy laws; we will honour requests as the law that applies requires. [owner and counsel: confirm which privacy laws apply and add any required notices]
9. Changes
We will update this page when practices change. The date at the top shows when it was last drafted.
